OEM Managers will have access to the Fleet Management module for PSSM Fleet. To access the Fleet Management Module, click on the Module Menu Link element in the upper right-hand corner beside your username.
Teams Tab
Clicking Fleet Management will take you to the Teams Tab. Here you will see all the teams associated with the OEM segment you belong to.
You can sort by any column that has the (Up/Down arrow icon). You can use the All Teams filter to select one or more Teams to view. Using the search bar, you can quickly find a Team by typing in a Name, Owner's Email, or Account ID.
Clicking a Team Name will open the team in a new browser tab.
Clicking Accounts on the left navigation opens the Accounts page.
Create Team
If you are an OEM Admin, you can create a new Team by clicking +CREATE TEAM. this will display the Create Team modal.
The required fields to create a new Team are Team Name and Team Key. The Team Key must be unique and cannot already exist in the system. Adding a Profile Picture and Application Name are optional. Click CONTINUE > to add the settings.
The only required field to create a team is the Team Owner's username or email. Once this is provided you can click CREATE TEAM and the team will be created; however, if at least one Fleet ID and the API User for that Fleet is not provided, the team cannot be used until those are provided.
While not required, it is highly recommended to add the API User when creating a Team. The API User is an artificial user that makes API calls on behalf of the team. The API user must be a unique user created in the Portal and given Dealer Administrator permissions to all fleet accounts added to the team. Enter their login information for the Portal.
The Fleet ID is the account ID for the fleet or fleets you want to add to the Team.
Accounts Tab
The accounts tab displays the accounts associated with the Teams in the OEM Segment you are assigned to.
You can sort by any column that has the (Up/Down arrow icon). You can use the All Teams filter to select one or more Teams to view. You can use the All Accounts filter to select one or more Accounts to view. Using the search bar, you can quickly find an Account by typing in an Account Name, Account ID, or City.
Clicking a Team Name will open the team in a new browser tab.
Clicking the Account's Name will open the Account Details page.
To Edit the Account information, click Edit.
Create Account
If you are an OEM Admin, you can create an Account by clicking + CREATE ACCOUNT.
The following fields are required and must be provided: Team (select a previously created team), Name, Address 1, City, State, Postal Code, County, and contact information must include a phone number and/or an email address. When all required fields are entered, click CREATE ACCOUNT.
Edit Account
The Edit Account modal allows you to make edits to the following Account fields: Name, Address Line 1, Address Line 2, City, State, Zip, Country, Phone Number, and Email address.
Account Details
Clicking an Account Name opens the account details. The header on this page displays the Account Name, Account ID, City and State, and the number of assets. Clicking Edit opens the Edit Account modal.
The Account Details page also includes three tabs for the selected Account:
Depots Tab
This tab displays all the Depots associated with the selected Account. You can sort by any column that has the (Up/Down arrow icon). You may also search for a depot by its name by typing in the search box.
Create Depot
You can create a Depot for the account by clicking + CREATE DEPOT. This will open the Create Depot modal.
To create a new Depot, the required fields are Name, Email, Country, State, and City. You may also optionally provide the Fleet Management System (FMS) ID, any pertinent notes for the Depot, an address, and a postal code. Once all the required fields are provided, the CREATE DEPOT will enable. Clicking CREATE DEPOT will create the Depot. Clicking CANCEL will close the modal, and no changes will be made.
Add Asset
There are two ways to add an asset to a depot. You can click ADD ASSET or click the three-dot menu on the right of a specific Depot and select Add Asset. Either option will open the Add Asset wizard. If you clicked ADD ASSET you will need to select the Depot. If you selected Add Asset from the three-dot menu on the right of a specific depot, the Depot name will be pre-selected.
If you have a large number of assets to add, you may provide a CSV file and upload the file. A sample CSV file is available by clicking DOWNLOAD CSV TEMPLATE. You may also enter the VIN number(s) in the VIN field. If more than one VIN is provided, separate each VIN with a comma. Click CONTINUE -> to go to the Review screen.
The Review screen has three tabs. They are as follows:
- Valid VIN (#): This shows the VINs that are valid and can be added to the Depot.
- Invalid VIN (#): This shows the VINs that are not valid and cannot be added to the Depot.
- Owned by Another Fleet (#): This shows the VINs that are owned by another Fleet and cannot be added to the Depot.
After reviewing the VINs on each tab, click CONTINUE ->.
The Process screen shows the VINs that were successful with a green checkmark and the ones that were unsuccessful with a red X. Click CONTINUE ->.
The Summary page will give a summary of the total assets added and the total assets that failed. Click DOWNLOAD REPORT, to get a detailed list of the added and failed assets. Press CLOSE to close the form.
Edit Depot
To edit a Depot, click the three-dot menu on the right of a specific depot and the Edit Depot will open.
The Edit Depot modal allows the Fleet Management System (FMS) ID, Notes, Name, Email, and address to be updated. Clicking SAVE will save the changes to the Depot.
NOTE: Required fields must have a value to save changes.
Contacts Tab
Clicking the Contacts Tab will display the contacts created for this account. The list can be sorted by the Name column. The following fields are displayed: Name, Job Role, Notes, Email, Mobile Phone, Address, Address 2, Country, State, City, Postal Code, and Assigned To.
Create Contact
Clicking + CREATE CONTACT will open the Create Contact form.
The First Name and Last Name are required, and an Email Address and/or Mobile Phone Number must be provided. Address and Notes are optional. Click CREATE CONTACT to save the contact. Click Cancel to not make any changes.
NOTE: Send Notification by Email or Text Message must be selected to Save the contact.
Edit Contact
To edit a contact, click the three-dot menu and select Edit. The Edit Contact modal will open.
The First Name, Last Name, Notes, Address, Email Address, Mobile Phone Number, and Depots may be edited.
NOTE: Send Notification by Email or Text Message must be selected to Save the contact.
At the bottom, the Depots that are associated to the contact will be displayed. To remove a depot association for the contact, click the Trash Can icon to delete the Depot. To add depot(s), click the drop down in the Depots field. You can select one or more depots to assign the contact. Click Apply to save the associations or Cancel close the Depot selector and not assign any depots. Click CLEAR to unselect all selected depots.
Delete Contact
You can multi-select contacts and click DELETE or click the three-dot menu for a specific contract and select Delete. You will receive a confirmation dialog to delete the contact.
Click DELETE CONTACT -> to delete the contact(s). Click CANCEL to cancel and make no changes.
You will receive a confirmation dialog that the contact(s) were deleted.
Make Primary Contact
Update when functional.To make a contact the primary contact, click the three-dot menu and select Make Primary Contact. You will receive a confirmation dialog to make the contact the primary. Click MAKE PRIMARY to make that contact the primary contact. Click CANCEL to cancel and make no changes.
Activity Tab
The activity tab presents all the activity that has occurred for the selected account. Provided are the Date and time of the change, who changed it, and the before/after of the change made.
The activities may be filtered by All Activity, Assets, Depots, Contacts, and Accounts. The activities may be sorted Most Recent First or Oldest First.
Depots Tab
The Depots Tab lists all the Depots assigned to the Accounts you have access to.
You can sort by any column that has the (Up/Down arrow icon). The list can be filtered by Specific Teams, Accounts, or Depots by clicking the filter and selecting the items you want to view.
Hyperlinks
The following fields have hyperlinks:
Team Name: Clicking the team name will open a new tab for that team loading PSSM Fleet.
Account Name: Clicking the Account name will open the Account Details Page.
Depot Name: Clicking the Depot name will open the Depot Details page.
Depot Details
Clicking a Depot Name opens the Depot details. The page header displays the Depot Name, FMS ID, City and State. Clicking Edit opens the Edit Depot modal.
The breadcrumbs at the top allow you to go directly to the account to which the Depot belongs.
The Depot Details page also includes three tabs for the selected Depot:
Assets Tab
The assets tab lists all the assets for the selected Depot. The following columns can be sorted in ascending or descending order: VIN, Unit, Year, Make, Model, Engine, and Serial. There are also filters that can be used to select one or more values for the following information: Asset Type, Year, Make, or Model. You can also search for an asset by VIN, Serial, or Unit number by typing in at least three characters in the search box.
Add Asset
To add an asset to the Depot, click ADD ASSET. This will present the Add Asset wizard with the depot pre-selected.
If you have a large number of assets to add, you may provide a CSV file and upload the file; otherwise, you may enter the VIN number(s) in the VIN field. Click DOWNLOAD CSV TEMPLATE to get a sample CSV file to use for uploading VINs.
If more than one VIN is provided, separate each VIN with a comma. Click CONTINUE -> to go to the Review screen.
The Review screen has three tabs. They are as follows:

Transfer Asset
To transfer an asset, click Transfer Asset or click the three-dot menu beside the asset. Transfer Asset allows you to transfer multiple assets from one depot to another within the same fleet. To start the transfer, select at least one asset by checking the box beside the asset and click TRANSFER ASSET.
Select the Fleet and Depot you want to transfer and click TRANSFER ASSETS. After a screen that states the transfer is being processed you will receive a results screen.
Click CLOSE to close the dialog.
Release Asset
To release an asset, click Release Asset or click the three-dot menu beside the asset and select Release Asset. Release Asset allows you to release multiple assets from a depot. To start the release, select at least one asset by checking the box beside the asset and click RELEASE ASSET.
The Release asset dialog will show the number of assets to be released. Click RELEASE ASSETS to release the assets. Click CANCEL to make no changes.
Edit Asset
Click the three-dot menu beside an asset and select Edit Asset. The Edit Asset modal will be displayed.
To view the vehicle type information, click the down arrow beside Type. The Asset Type, Make, Year, Model, and Engine will be displayed.
To view the Identification information, click the down arrow beside Identification. The VIN, Serial Number, Unit Number, Chassis ID, License Plate, and Engine Serial Number will be displayed.
To view Meter Data for the unit, click the drop-down beside Meter Data. The Odometer, Engine Hours, and Fuel Consumed will be displayed.
After entering changes, click SAVE to save the changes or CANCEL to not make any changes.
Contacts Tab
Clicking the Contacts Tab will display the contacts associated with the Depot. The list can be sorted by the Name column. The following fields are displayed: Name, Job Role, Notes, Email, Mobile Phone, and Assigned To.
Edit Contact
To edit a contact, click the three-dot menu and select Edit. The Edit Contact modal will open.
The First Name, Last Name, Notes, Address, Email Address and Mobile Phone Number may be edited.
NOTE: An email and/or phone must be entered and Send Notification by Email or Text Message must be selected to Save the contact.
At the bottom, the Depots that are associated to the contact will be displayed. To remove a depot association for the contact, click the Trash Can icon to delete the Depot. To add depot(s), click the drop down in the Depots field. You can select one or more depots to assign the contact. Click Apply to save the associations or Cancel close the Depot selector and not assign any depots. Click CLEAR to unselect all selected depots.
Delete Contact
To delete a contact, click the three-dot menu and select Delete. You will receive a confirmation dialog to delete the contact. Click DELETE CONTACT to delete the contact. Click CANCEL to cancel and make no changes.
Make Primary Contact
To make a contact the primary contact, click the three-dot menu and select Make Primary Contact. If there isn't a current Primary Contact, the contact will be made the Primary Contact. If there is an existing primary contact, you will receive a confirmation dialog to update the primary contact.
Click UPDATE MAKE PRIMARY to make that contact the primary contact. Click CANCEL to cancel and make no changes.
Remove From Depot
To remove a contact from a Depot, click the three-dot menu and select Remove from Depot. A confirmation dialog will appear. To remove the Contact from the Depot, click REMOVE CONTACT. To cancel, click CANCEL.
To remove multiple contacts, select each contact and click REMOVE. A confirmation dialog will be displayed.
Click REMOVE CONTACTS -> and you will receive a confirmation that the contacts were removed.
NOTE: This does not delete the contact, only remove its association to the Depot.
Activity Tab
The activity tab presents all the activity that has occurred for the selected depot. Provided are the Date and time of the change, who changed it, and the before/after of the change made.
The activities may be filtered by All Activity, Assets, Depots, Contacts, and Accounts. The activities may be sorted Most Recent First or Oldest First.
